When we set up UXBOX in Ho Chi Minh City, some of our very first calls had nothing to do with design or code. We needed a lawyer for the company setup, an accountant to keep us compliant and someone to sort out work permits and visas. Running a foreign owned business in Vietnam means these partners are not optional, and the honest truth is that the market for legal, accounting, visa, audit, and translation services here is crowded, loud, and not always what it appears to be on the surface.
The market is crowded, and quality is not consistent
Talk to enough expats and business owners in Vietnam and you will hear some version of the same story. A contract that got mistranslated in a way that quietly changed its meaning. An accountant who missed a filing deadline and left the business exposed to penalties. A visa "agent" who took the money and disappeared halfway through the process. A firm that quoted one fee and invoiced another.
None of these providers are the same profession, but the underlying problem is identical. The quality of professional services in Vietnam is genuinely uneven. There are excellent, highly professional firms working here across every one of these fields, and there are also plenty of outfits that will happily take your money while handing you something that costs far more down the line.
Not everyone offering these services is what they claim to be
In Vietnam, the name a business gives itself does not always reflect its licensing status. A "legal consulting company," a "visa specialist," or an "accounting service" describes the kind of work being offered, not necessarily who is authorized to provide it. A law firm (công ty luật) or lawyer's office (văn phòng luật sư) must be staffed by lawyers holding a practicing certificate (chứng chỉ hành nghề luật sư) and admitted to a bar association. Audit firms and practicing auditors need their own certifications under the Law on Independent Audit, although accounting firms have not needed a Ministry of Finance certificate to operate since 1 July 2026. A translation intended for official use needs the translator's signature certified (chứng thực chữ ký người dịch) by a commune-level People's Committee or a notary office, not simply a translation by someone fluent in both languages.
None of this means every general consultant is untrustworthy. Plenty of consulting businesses do genuinely useful, honest work, especially for straightforward admin like paperwork assistance. But if your situation involves a legal dispute, an audit, a visa decision that could go wrong, or anything with real financial or legal exposure, you want to know exactly who you are actually dealing with.
Word of mouth is where most people start
Most foreign businesses in Vietnam do not find their legal, accounting, or visa help through a Facebook ad or a cold Google search. They find them through word of mouth: a fellow founder, a chamber of commerce contact, a friend who has already been through the same process. That instinct is a good one. A referral carries real weight because it comes from someone who has tested the relationship under actual working conditions, not just reading a website.
But word of mouth is a starting point, not a substitute for your own due diligence. The provider your friend loved might be the wrong size, the wrong specialty, or simply the wrong fit for your budget and your situation. Before you sign anything, here are the factors worth thinking through deliberately.
1. Branding: the first impression that opens the door
Branding is not just a logo or a nice website, and it matters more here than in most industries because these services are genuinely hard to judge from the outside. You cannot test a contract review or a tax filing the way you can test a product before buying it, so people lean heavily on presentation as a proxy for competence.
For a small business owner or expat in Vietnam, a polished website with real photos of the actual people you would work with, a clearly listed set of services, a visible office address, and a professional but not overproduced tone all signal that a firm takes its own presentation seriously. A slick Facebook page with stock photography, no named staff, and no verifiable registration details is a signal too, just not necessarily a good one. Some of the most reliable boutique firms in Vietnam have fairly modest websites, and some of the least reliable operations have the most impressive looking marketing. Branding should get a provider onto your shortlist. It should never be the only reason it stays there.
2. Specialization and experience: the substance behind the impression
Once a provider has your attention, the next question is whether they actually know how to solve your specific problem. A firm can legally offer legal advice, tax filing, visa support, and business registration all under one roof, whether or not they have real depth in each one. A provider that tries to cover too much ground often ends up a generalist in all of it and an expert in none of it, so it is entirely fair to ask directly: how many cases like mine have you actually handled, and what happened?
This is also where verifying credentials matters, and the details differ slightly by profession. Lawyers should hold a valid practicing certificate registered with a local bar association; as of Decree 121/2025/ND-CP, which took effect in mid-2025, the authority to issue these certificates shifted from the Ministry of Justice to provincial level People's Committees, so asking which province issued a lawyer's certificate is a fair and reasonable question. Audit firms need a license from the Ministry of Finance. Accounting firms, by contrast, have not needed a Ministry of Finance certificate since 1 July 2026, so ask about the qualifications and experience of the individual accountant. None of this needs to be intimidating. Experience in your specific type of problem, backed by the right credentials for that profession, is worth more than a firm's overall size or how many services its website lists.

3. Language: not just fluent, but able to explain the solution
Vietnamese is the language of government and official process here. Contracts, tax records, visa applications, and regulatory correspondence are all in Vietnamese, and fluency levels in English vary a great deal from one provider to the next, even within a firm that markets itself as English speaking. It is worth speaking directly with the actual person who would handle your matter before engaging anyone, rather than assuming a firm's marketing English reflects the English of the person doing your work.
But language here means more than vocabulary. What you actually need is someone who can take a dense piece of Vietnamese regulatory language, whether it is a tax circular, a visa requirement, or a contract clause, and explain in plain terms what it means for you and what your realistic options are. The best partners we have worked with do more than translate words; they interpret intent, connect it to what the rules actually allow, and align it with what we are trying to achieve.
4. Type of clients they typically work with: matching scale to your budget
This factor gets overlooked constantly, and it matters enormously across legal, accounting, and visa services alike. A large, full service firm with an international client roster can absolutely solve the same problem as a small specialist practice, but the price tag will often look very different, not necessarily because the advice is better, but because a bigger firm carries more overhead.
| Larger, full service firm | Boutique or specialist provider |
|---|
| Typical cost | Higher, reflects overhead and scale | Often more competitive |
| Access to senior staff | Can be layered through juniors | Usually direct |
| Capacity for complex, urgent, or multi-front work | Generally stronger | Can be limited |
| Best fit for | Larger, multi-jurisdiction, or high complexity needs | Contained, well defined needs closer to your own scale |
Neither model is inherently better. What matters is asking a prospective provider, plainly, what kind of clients make up most of their caseload, and being honest with yourself about whether that profile matches your own situation, in scale and in what you can realistically afford to spend.
5. Team and point of contact: who is actually doing the work
This is the factor that shows up only after you have already signed, which is exactly why it deserves attention beforehand. Ask plainly how many people will actually touch your matter, and whether you will be working directly with the senior person you met in your first conversation or routed to someone junior once the engagement begins. Both arrangements can work well, but you deserve to know which one you are getting.
Responsiveness is worth asking about directly too. Slow replies and unclear ownership of a case are common complaints across legal, accounting, and visa services alike in Vietnam, not a problem unique to any one profession. Ask what the expected response time is for urgent questions, whether you will have one clear point of contact or a rotating cast of people, and get that answered in writing alongside the scope of work and the fee structure. Vague fees and vague scope are, in practice, exactly how the "overpriced and non-transparent" complaints at the start of this article actually happen. A provider that is comfortable putting all of this in writing upfront is telling you something real about how they operate.
What you can actually do before you sign
Knowing what to look for is one thing. Here is what we actually recommend putting into practice.
Verify the company by checking its tax code. Vietnam's National Business Registration Portal, run by the Ministry of Finance, lets you search any registered business by name or tax code for free, and shows its legal name, registered address, legal representative, and date of incorporation. It is a quick, official way to confirm a provider actually exists as a real, legally registered entity. Note that law firms, lawyer's offices, and notary offices register their operations with the provincial Department of Justice instead and may not appear there, so for those it is worth checking with the Department of Justice or the local bar association.
Ask for examples specific to your exact issue, not just a general list of services offered.
Test the language on a real call. Do not rely on a website's claim of being English speaking.
Get the fee structure and scope in writing before you start.
Ask who your point of contact will be, and what their response time looks like for something urgent.
Treat a referral as a lead, not a verdict. Do your own check even when a friend recommends someone warmly.
Frequently asked questions
Is the cheapest option ever the right choice?
Not automatically. A lower price can reflect genuinely lower overhead, which is fine, but it can also mean corners are being cut somewhere you cannot see yet. Weigh price against the other factors above rather than treating it as the deciding one on its own.
What if the referral came from someone I trust completely?
Still worth your own check. A provider that worked well for a friend's situation may not have the same depth for yours, especially if your needs are in a different area, like audit versus general accounting, or litigation versus routine contract work.
Can one provider handle my legal, accounting, and visa needs together?
Some firms genuinely offer all of these under one roof, and that can be convenient. Just confirm they have real depth in each area you need rather than assuming breadth automatically means quality everywhere. It is also completely reasonable to use different specialists for different needs.
Choosing a legal, accounting, visa, or business services partner in Vietnam is very much possible to get right, but it takes more active, deliberate evaluation than most people expect walking in, especially if you are new to the country or new to running a business here. The providers that consistently earn trust are rarely the ones with the loudest marketing. They are the ones that are transparent about fees, honest about what they know and do not know, and easy to actually reach when something matters.
