Imagine your first tax filing deadline in Vietnam is approaching. Your invoices are organized when your accountant sends a message: “Please send the XML file from HTKK.”
You already have accounting software, an electronic invoice service, and an online tax account. Why another application?
HTKK has a specific role. Understanding it helps you recognize when a return is ready versus when it has actually been filed.
HTKK is Vietnam’s tax declaration support software. Its Vietnamese name translates roughly as “declaration support,” and it is provided free by Vietnam’s tax authority under the Ministry of Finance.
Older guides refer to the General Department of Taxation. More recent notices use the Department of Taxation following organizational changes.
HTKK’s main job is to help users prepare prescribed tax forms and supporting schedules, run built-in checks, and export electronic files, commonly in XML format. XML carries structured information that the receiving tax system can process.
The distinction matters: preparing a return in HTKK is one stage of filing. Saving or exporting it does not establish that the tax authority has received it. Submission takes place through the applicable online tax service or a supported filing provider.
Think of HTKK as the place where your accountant assembles the return. The filing portal is where that return is delivered.
HTKK is relevant to companies, organizations, tax agents, accountants, and individuals preparing supported declarations. Official notices address both organizational and individual taxpayers.
For a foreign-owned company, your internal accountant or accounting firm may handle HTKK. You can understand the workflow without entering every figure yourself.
For expats, first establish whether you need to file directly, what your employer handles, and whether an online procedure meets your needs. Foreign residency alone does not mean you need HTKK.
The software also supports forms used by household and individual businesses. That describes its filing coverage, not eligibility to establish a particular business structure. Foreign founders should confirm their legal business setup separately.
Ask your accountant: “Which return am I responsible for, and how will it be submitted?”
The forms available depend on the installed release, the reporting period, and the taxpayer’s circumstances. The following are useful examples, rather than a filing checklist that applies to everyone.
| Filing area | Examples you may encounter |
|---|---|
| Value-added tax | Form 01/GTGT for VAT under the credit method, plus other supported VAT forms and schedules |
| Employer personal income tax | Form 05/KK-TNCN for withholding declarations and 05/QTT-TNCN for annual finalization |
| Individual personal income tax | Form 02/KK-TNCN for direct declarations and 02/QTT-TNCN for individual finalization |
| Corporate income tax | Form 03/TNDN for annual finalization and relevant supporting schedules |
| Foreign contractor tax | Supported contractor tax declarations and finalization forms |
| Household and individual business tax | Supported business declarations, including versions of Form 01/CNKD |
| Financial statements and other filings | Applicable financial statement packages and selected specialist tax, fee, or refund forms |
For a small service company, VAT, payroll withholding, annual tax finalization, and financial statements may be the familiar areas. A business paying an overseas supplier may also need to investigate foreign contractor tax.
A form appearing in the menu does not mean you must file it. Confirm the applicable form, method, and period first.
The application itself is free. That removes a software licensing expense, although accounting services, digital certificates, and other tools may still cost money.
The second is consistency. Instead of building a tax return from scratch in a spreadsheet, you work within a prescribed structure. Calculations and validation rules can flag certain missing fields or inconsistent entries. Official updates regularly adjust these checks.
Your accounting system holds transaction records, while supported export and import functions move reporting data into the filing process. Some accounting products export XML for submission or import into HTKK.
For an owner, the biggest benefit is visibility. You can request a readable copy of the return and compare its totals with your accounts before submission.
The software can check structure and certain calculations. It cannot determine whether every underlying business decision is correct.
A return may pass its checks even though an expense has been classified incorrectly or relevant income has been omitted. Your records and tax treatment still need review.
There is also a language barrier. Foreign owners should expect Vietnamese forms and terminology. Having someone explain the relevant fields is usually more reliable than guessing from a translated label.
HTKK is a Windows desktop application. Mac users should plan a suitable Windows setup or investigate a supported browser-based filing route. Check the current release’s technical requirements before deciding how your team will use it.
Updates require attention too. Tax authority notices can change calculations, available forms, administrative details, or XML output. An old tutorial may remain online long after its screenshots or version number become outdated.
Finally, treat local records as something you must protect. Keep backups and copies of submitted files. If your accountant changes, make the return archive and filing confirmations part of the handover.
Start with the tax authority’s official website and its HTKK support page for installation packages and instructions.
A practical installation sequence is:
Exact screens can change, so follow the instructions supplied with your release.
Setting up a taxpayer profile inside HTKK does not, by itself, register a business or activate its online filing account.
Picture the same business owner again. This time, the XML file is ready. The next question should be: “Who is submitting it, and where will we keep the confirmation?”
The usual workflow is to review the return, export the required file, access the applicable tax filing service, complete the required signing or authentication, submit, and check the resulting notifications.
Vietnam’s online services include eTax and the tax administrative procedures portal. Follow the current submission route for your particular procedure.
Do not stop at a screenshot showing that an upload occurred. Check whether the filing has been accepted or whether further action is required.
Keep the submitted return, relevant schedules, and official notifications together. Where tax is payable, track the payment separately. A submitted declaration and a completed payment are different parts of the process.
The right option depends on your taxpayer type and the return you need to file.
Direct online filing can replace desktop preparation when the official tax portal supports your form and circumstances. Check the procedure available through your account before assuming every return can be completed in the browser.
Commercial accounting software can connect bookkeeping and tax preparation. Some products export compatible XML files or offer integrated filing services. Confirm supported forms, signing requirements, and updates before subscribing.
An accounting firm or tax agent can manage the process for you. Agree who prepares, reviews, signs, submits, and monitors each filing.
eTax Mobile is a limited alternative for individuals and household businesses. It supports preparing and submitting individual personal income tax finalization returns through its supported workflow, alongside selected household and individual business procedures. For an eligible supported filing, you may not need to prepare the return separately in HTKK. Foreign users should confirm account access, identity verification, and availability for their circumstances.
It should not be presented as a general replacement for a company’s HTKK workflow. Company VAT, corporate income tax, employer payroll tax reporting, and financial statement submissions need the relevant business filing route. A director’s personal eTax Mobile account does not automatically provide those company filing functions.
Electronic invoice software and XML viewers serve separate purposes. Issuing invoices or opening a return file does not complete your tax declaration.
You do not need to become an HTKK expert to run a business in Vietnam. You do need to know which returns apply, who handles them, and what evidence confirms completion.
