A client is waiting for an invoice. Your accountant has prepared it, but the signing system rejects the request. The digital certificate expired yesterday. Renewing it sounds straightforward, until you discover the new certificate also needs updating on another platform.
For a small business owner, this is where back-office work becomes unexpectedly time-consuming. Several systems support the same company, yet each has its own access rules, subscription and responsibilities.
Foreign founders and investors do not need to operate every screen themselves. They do need to understand how the systems connect and what evidence should come back from the people managing them. This guide focuses on incorporated businesses in Vietnam. Household businesses and individuals have different requirements.
A digital signature helps identify the signer and detect changes to an electronic document. A USB token is a device that holds the signing credentials. Remote signing services provide another option, without requiring a physical USB device for each signature.
Examples include Viettel-CA, VNPT-CA and VNPT SmartCA. Check that the service supports the specific tax, insurance, invoicing and document systems your company uses.
Test your actual computer, browser and required signing utility before purchasing, especially if you use a Mac or expect to sign while abroad.
The legal distinction matters. Under Article 23 of the Law on Electronic Transactions, a qualifying digital signature can have the same legal value as a handwritten signature. An organization's digital signature can also satisfy a legal requirement for organizational confirmation. Calling it simply an electronic version of a signature and company seal overlooks the signer's authority and other transaction requirements.
Businesses use these signatures for tax returns, social insurance submissions, e-invoices and electronic documents. Treat signing access as authority to act for the company. Assign responsibility for the token, PIN or remote-signing account and document what each person may approve.
Record the certificate expiry date and renew early. After renewal or replacement, check whether the certificate details changed. Update registered details where required on tax portals, insurance software, e-invoicing platforms and other connected public services. Check the signing software too. Ask the provider to guide the updates and verify signing before the next deadline.
Accounting software records the company's transactions and produces ledgers, financial statements and management reports. MISA AMIS Accounting and FAST Accounting are examples used in Vietnam.
For an owner, its value is seeing who owes money, which bills remain unpaid and whether the business is profitable. For the accountant, it must also support Vietnamese Accounting Standards, the Accounting Law and the accounting regime applicable to the company.
There is a relevant 2026 change. Circular 99/2025/TT-BTC replaces Circular 200 for financial years beginning on or after 1 January 2026, subject to its transitional provisions. Eligible small and medium businesses may use the regime under Circular 133. Have your accountant confirm the correct setup before migrating data or choosing a software package.
An overseas group's reporting system still needs a clear process for producing Vietnam-compliant statutory records. Ask about Vietnamese reports, foreign-currency transactions, user permissions, data exports and access after your accounting service ends.
HTKK performs a different job. It is the tax authority's free tax declaration preparation tool. Accountants can prepare supported returns, export XML files, then upload, digitally sign and submit them through the relevant electronic tax service. Some returns can also be prepared directly online.
Keep HTKK updated through official channels. Confirm that the version and form support the reporting period, then retain both submission and acceptance notices. Generating an XML file does not complete the filing.
Our Vietnam eTax for Businesses guide explains the wider tax workflow.
E-invoice software creates, signs, transmits and stores electronic invoices for sales of goods or services. Viettel S-Invoice and MISA meInvoice are examples. Depending on the setup, invoicing can connect with accounting or sales software to reduce repeated entry.
Complete the required registration for e-invoice use before issuing your first invoice.
Before buying, estimate invoice volume and check how the package is charged. Monitor the remaining invoice allowance, any service expiry, signing arrangements and the cost of integrations. A prepaid invoice balance and a digital certificate have separate renewal needs.
The platform's buttons do not determine the correct tax treatment. Your team still needs to know the invoice type, buyer details, description, VAT treatment and legally required issue date.
The current framework includes Decree 254/2026/ND-CP and Circular 91/2026/TT-BTC, effective from 1 July 2026. For ordinary services, invoicing generally follows completion, with earlier collections potentially triggering an invoice and specific exceptions applying. Agree the treatment of advances and deposits with your accountant before collecting them.
If an issued invoice contains an error, have the accountant identify the required correction procedure. The supplier's support team can explain the software steps. Keep the original and subsequent records together, including XML files and readable copies. See our VAT invoice checklist for the broader process.
Social insurance software helps employers prepare and transmit insurance declarations. An I-VAN service is an intermediary connecting the employer's electronic submissions with Vietnam Social Security. Viettel vBHXH is one example; employers can also use the official social insurance public service portal under its registration procedures.
Typical tasks include registering eligible new employees, reporting departures, adjusting contribution salaries and submitting supported benefit claims. Platforms provide procedure menus and forms, but someone must select the correct case and supporting documents.
When hiring your first employee, agree who checks insurance eligibility, prepares the filing and confirms acceptance. Foreign employees need a separate eligibility review rather than automatic treatment identical to Vietnamese staff.
Each month, reconcile the insurance employee list and contribution amounts against payroll. A submitted declaration and a contribution payment are separate steps. Save processing results and payment evidence, and update the registered digital certificate when required.
Corporate internet and mobile banking help businesses manage balances, review transactions, pay suppliers and salaries, and make supported tax payments. Vietcombank's VCB DigiBiz is one example, with web and mobile access and configurable transaction roles.
A useful arrangement allows the accountant to prepare a payment and an authorized manager to approve it. Set limits and keep approval access current when staff change. Owners who travel should check their authentication method before leaving Vietnam.
The bank's OTP or security token serves its own authentication process. Check its purpose separately from the company's digital signing certificate.
Download statements and reconcile them with accounting records. Match receipts and payments to invoices, contracts and supporting documents. Keep any bank-issued e-invoices for service fees through the bank's available delivery or retrieval channel. A transfer confirmation proves a payment; the supplier's invoice serves a different purpose.
Payment method can affect tax deductibility. Current Ministry of Finance guidance on Decree 320/2025/ND-CP requires qualifying non-cash payment evidence for relevant payments of VND 5 million or more per transaction, including salary payments. Have your accountant check the applicable conditions and exceptions before approving cash expenses.
As the business grows, several additional tools can help:
Electronic contracts: Platforms such as FPT.eContract support document signing and contract management. For employment contracts, verify the workflow against Decree 337/2025/ND-CP and Circular 08/2026/TT-BNV. The requirements include identity verification, digital signatures, timestamps and connection with the national electronic employment contract platform. Electronic employment contracts remain optional; a scanned signature alone does not establish compliance with this workflow.
HR and payroll: Products such as MISA AMIS HRM connect employee records, attendance and payroll. Check salary formulas, tax settings, insurance treatment and access permissions. Payroll software does not automatically complete government filings.
Document storage and approvals: A company-controlled document system can keep contracts, purchase approvals and payment evidence accessible. Choose access controls, backups and export arrangements that suit the records. Many documents used directly for bookkeeping and financial statements require at least ten years of retention. Employee information also falls under Vietnam's personal data protection framework.
Retail, hospitality and trading businesses may additionally need sales and inventory software integrated with their invoicing process.
Keep ownership visible
Before adding another subscription, create a simple register showing each system's purpose, account owner, authorized users, renewal date and support contact. Keep recovery details under company control.
For foreign owners, ask for a demonstration of the actual workflow and confirm support languages. Check what the subscription includes, which integrations cost extra and how you can retrieve records after cancellation.
Then agree a monthly review with your accountant. Ask for reconciled figures, accepted filing results, payment confirmations and unresolved issues. When changing providers, request the data, signed records and access handover before ending the relationship.
